For Partners

Dear Partners, here you can find what to expect from Prague University of Economics and Business (VSE) regarding your students’ exchange in Prague, Czech Republic. All guides that you might need will be displayed in the sections below. If you are a student, you can check information on the link here.

To apply for the exchange programme at VSE, students must be:

  • Enrolled in a degree study programme at one of our partner universities.
  • Nominated for exchange by our partner university.

Freemover students are not accepted in this programme. Please refer to cesp.vse.cz.

We require all Exchange students to enroll for at least 15 ECTS at VSE and have at least a B2 English level. However, no certificates are needed; we trust our partners that students nominated meet the language criterion.

Coordinators receive an email notification in March when nominations start to be accepted. Below please find the general deadlines.

Nomination Deadline May 1 (April 15 for non-EU students) October 15 (October 1 for non-EU students)
Application Deadline May 30 (May 15 for non-EU students) October 31 (October 15 for non-EU students)

To nominate, log in to the Integrated Study Information System – InSIS. If credentials are forgotten or there’s a change in the person responsible, please contact the Exchange Office. After log in please follow this picture guide.

We encourage our partners to promptly nominate non-EU citizens, which allows us and their students to initiate the VISA procurement process as soon as possible. The VISA application time imposes a great time pressure on us to issue all the necessary documents on time. Not changing the nomination will help the students be on time with their VISA procedure.
The non-EU citizens will be processed with priority due to the VISA procedure.

After the student nomination is accepted by VSE, the student will receive her/his login details for accessing the Application website. All nominated students must fill in their online Applications in InSIS by their respective deadline; this is a necessary condition to be accepted as an Incoming Student at VSE.

After a successful completion of online Application by the student, Letter of Acceptance will be uploaded to student’s Document Storage. To find more information, please see the section Mobility documents.

Please note that the nomination of an Exchange student can be accepted at the earliest in March for Fall semester and at the end of September/beginning of October for the Spring semester. Nomination of a Double degree student can be accepted at the beginning of June at the earliest.

 

Documents Issued by VSE

Exchange students accepted to study at Prague University of Economics and Business (VSE) who are not EU citizens are required to have a long-term visa for the purpose of studies before arriving in the Czech Republic.

After a successful completion of Application by non-EU student, the Supporting Documents from VSE will be sent to the home university address by post. We expect our partners to cooperate in this matter and help us redistribute the Supporting Documents from VSE to their students. The Supporting Documents from VSE contain Confirmation of Study (“Potvrzení o přijetí ke studiu/o studiu”) and Binding Preliminary Agreement on Accommodation (“Smlouva o smlouvě budoucí”).

Please advise your students to arrange for all the other documents (as specified by the relevant Czech Embassy/Consulate General) needed for the VISA application prior to obtaining the Supporting Documents from VSE and to arrange for the VISA appointment well in advance. The majority of the mobility documents (i.e. Letter of Acceptance, Confirmation of Arrival, Confirmation of Study Period, and Transcript of Records) issued by VSE can be found in the respective student’s Document Storage in the InSIS – university system. Responsible person from Partner university can access the original documents of their students themselves using their own coordinators‘ profiles. Since the document is delivered directly from VSE and the document can only be uploaded in its pure unchanged version in the moment it was issued, VSE consider this the ultimate verification. Below you can find a guide how to access them.

VSE can only validate forms that the university itself issues. This is a standard procedure and our partner institutions are informed in advance at the beggining of each semester.

Documents found in the Document Storage of the university system are original and considered authentic as they are directly provided to our partners even if they are not signed. The exception is the Transcript of Records, which is frequently required by third parties and therefore includes digital signatures. The authenticity of these transcripts can be verified using their unique QR code.

The Learning Agreement is the only document that we can distribute through other channels than the InSIS Document Storage (either through OLA or by email). VSE generally prefers Online Learning Agreement (OLA) in case a Learning Agreement is necessary. Should the student only possess a paper version of a Learning Agreement, its scan will be signed with an electronic signature.

Do note that we can only sign the During the Mobility part of the Learning Agreement after the Drop / Add period, i.e. the first week of classes. We do not sign the After the Mobility part of the Learning Agreement, as the Transcript of Records is being issued.

Note: there will be two versions of the Transcript of Records uploaded to your students’ Document Storage. Firstly, after all academic duties of the respective student are fulfilled, the Transcript of Records with VSE local grades is issued. Additionally, Transcript of Records with ECTS grades will be issued after the exam period ends due to the nature of ECTS grades.
